Assistant Project Manager

Role Description

ASG Equities is looking for an Assistant Project Manager to support our construction and property management teams. The responsibilities and duties of this position described here are representative of those an employee must perform. The Assistant Project Manager will report to the Director of Construction and work closely with our Asset Management and Finance team, vendors, consultants, and tenants.

The position is ideally suited for a highly motivated, detail-oriented individual with a solid Project Management/Property Management/Administrative background, a solution-oriented attitude, and strong interpersonal skills.

Responsibilities

  • Assist in preparation of budgets, including long-term and short-term capital reserves.
  • Coordinating with Finance Team for variance reports and monthly reporting.
  • Track and coordinate execution of building maintenance contracts, annual inspections, and service agreements with Property Managers and Asset Managers.
  • Coordinate vendor contract services, building and tenant improvement projects.
  • Coordinate, budget and execute upon Local Law improvements.
  • Monitor and work to clear building violations.
  • Reviews and processes submittals and RFI’s (requests for information).
  • Document control including reviewing and tracking changes to the contract documents
  • Ability to work independently as well as maintaining a team-oriented mentality.
  • Receives technical guidance on complex problems and supervisory approval on proposed plans for projects.
  • Firm understanding of industry standards related to construction and property management.
  • Prepare meeting minutes, project status reports, track invoices and maintain files for due diligence and financials.
  • Assist Property Managers and Director of Construction on tracking and reporting on cash-flow by project and a cash-flow rollup.
  • Ensure all project participants understand project goals, assumptions, constraints, and deliverables.

An ideal candidate will have the ability to

  • Work proactively and independently in a high-volume environment.
  • Bring strong existing vendor/contractor relationships to the company.
  • Maintain strong relationships with tenants, contractors, vendors, and other real estate professionals.
  • Multi-task and prioritize multiple properties and responsibilities.
  • Willingness to do what is necessary and an all-hands-on-deck teamwork attitude.
  • Local travel to properties (NYC), as needed.

Basic Requirements

  • BA/BS degree in a related field.
  • Requires minimum 1-3 years of experience in a related role.
  • Ability to think criticality and prioritize competing priorities.
  • Excellent organizational & interpersonal skills.
  • Highly organized with strong research, organizational, and analytical skills.
  • Strong prioritization and problem-solving skills.
  • Basic understanding of accounting principles.
  • Excellent oral and written communication skills.
  • Ability to prepare, track, and manage project scopes, costs, and schedules.
  • Familiarity with architectural/engineer drawings, space planning concepts, furniture systems and ancillary products, and technical systems.
  • Valid Driver’s license and ability to Travel to properties.

Technical Proficiency Requirements

  • Yardi Voyager  --- minimum 1 year experience
  • Microsoft Office Suite (Outlook, Word, Excel).
  • Microsoft Project.
  • Bluebeam or Adobe Acrobat.
